Position Overview
The primary responsibility of the Leave of Absence Specialist is to manage and administer all aspects of the Company absence management program and policies. This includes compliance with the company’s leave policies, the American’s with Disabilities Act and all federal, state and municipal leave laws and requirements. The Absence Management Specialist will also be the primary point of contact for managers and employees providing them with guidance and recommendations regarding the absence management process, along with correspondence and documentation review and management of the leave information in the company’s HRIS/payroll systems.
Requirements
Essential Job Functions
- Coordinate, track and manage all company leaves of absence – including FMLA, state and municipal leaves, company provided leaves, military leave, jury duty, bereavement leave, etc.
- Coordinate, track and manage all leave accommodations under the Americans with Disabilities Act (ADA).
- Coordinate, track and manage all requests for an accommodation under the ADA.
- Serve as the primary point of contact for all absence inquiries, educating employees and managers on the leave process, related policies and procedures, as well as time entry.
- Acts as a resource to associates regarding medical benefits end dates, Short Term and Long Term Disability benefit issues and resolves associate issues and provides education to associates on how to file a claim
- Intake of leave requests through HRIS/payroll systems – including sending required notices, forms and letters, and determining leave eligibility and leave approvals/denials and re-certifications.
- Ensure federal, state and municipal compliance of all leaves.
- Create and maintain complete and accurate leave files.
- Communicate with employees, managers and human resources professionals to coordinate the return to work process, including accommodation requests and leave expirations.
- Develop, generate and present reports on a regular basis to analyze leave data and trends.
- Responsible for maintaining current knowledge of federal, state and municipal leave laws and regulations; propose revisions to internal documents, policies and communications as necessary to ensure company compliance.
- Develop, generate and present reports on a regular basis to analyze accommodation data and trends.
- Develop and deliver leave related training for employees, managers and human resources professionals.
- Consult with benefits department, as needed, to coordinate changes to benefits as a result of employee’s leave.
- Continuously improve overall process efficiency and accuracy.
- Adheres to and participates in Company’s mandatory HIPAA privacy program/practices and Business Ethics and Compliance programs/practices.
- Reviews and adheres to all Company policies and procedures and the Employee Handbook.
- Participates in special projects and performs other duties as assigned.
Requirements
- BA or BS degree in Business, Human Resources or related field and 2 or more years of absence management experience or 5 or more years of absence management experience.
- Ability to evaluate systems and procedures and develop improvements.
- Ability to analyze and interpret data.
- Ability to maintain confidentiality and adhere to the highest degree of professional standards.
- Ability to manage multiple projects at one time.
- Ability to prioritize and organize effectively in a fast paced environment.
- Ability to work independently and with a team.
- Excellent analytical skills, including advanced Excel skills.
- Knowledge of employee benefit plans, policies and procedures.
- Knowledge of state and federal laws regarding ERISA, HIPAA, FMLA, ADAAA and the ACA.
Preferences
Knowledge of Workday is a plus.
